Gwaii Trust Programs

All Gwaii Trust programs require a completed on line application.

The Gwaii Trust Board of Directors will not consider any information or supporting documentation received after the allocation deadline in their review of this project.

All applications submitted become the property of the the Gwaii Trust, who may publish the said applications on their website www.gwaiitrut.com or may otherwise utilize their content as the Gwaii Trust sees fit.

All Gwaii Trust Programs require, Haida Gwaii residency of one year, prior applying.
(Gwaii Trust defines residency as: living on Haida Gwaii 12 consecutive months prior to application date)

The Travel Assistance application must be submitted two weeks prior departures.

Who Can Apply?

The Gwaii Trust has utilized the contribution expenditure component to disburse funds to the organizations, groups, and local governments on Haida Gwaii. The term contribution is similar to grant and has specific condition(s) subject to the approval of individual projects. All programs administered by the Gwaii Trust have been in the form of direct contributions to the recipients.

No part of the Society’s funds or assets shall inure to the benefit of any private individual or personal benefit.

No projects will be approved if already in progress.

The Travel Assistance, Haida Parity, Mature Student Bursary, Arts workshop component and the Special Initiatives applications must be submitted two weeks prior departures, project or program start dates.

Core Funding Policy

The Gwaii Trust Board of Directors will not support core funding (funding of operational or ongoing day to day expenses or any continually reoccurring programs) in any of its programs.

Exceptions to this are as follows:
Under the current Legacy Guidelines pertaining only to the case of coordinator or office start up costs necessary for a project, In these specific instances funding is restricted to a six (6) month period only.

The definition of "core funding" is any funds that are used for all or a portion of operational finding. Core funding also applies to applicants applying for repetitive grants for the same purpose year after year.

Project Extension Policy

Beginning with the 2010/2011 fiscal year the following will apply:

On all projects over $10,000.00 where funding is outstanding in excess of one year, the applicant will be notified via registered mail, site visits will be accompanied by a shortened reapplication form the project application that must be re approved by the Board in order to advance any further funding;

On all projects less than $10,000.00 where project funding is outstanding in excess of one year (expiration period) applicants must submit a letter of explanation complete with revised time line for approval by the Gwaii Trust office no later than the expiration period. (Maximum time extension permitted is 180 days beyond the expiration period)

Projects outstanding in excess of one year and not meeting Board approval criteria or projects where no contact has been made with Gwaii Trust regarding project extension will automatically be decommissioned, with any remaining projects funds reverting back to the Gwaii trust.

Essential Elements to Receive Contributions

The Gwaii Trust Society disburses funds for all approved projects on an invoice basis, once any in-kind or matching equity has been confirmed. The approved applicants provide copies of receipts (for expenditures) or invoices to the Gwaii Trust office, and then those costs are reimbursed at the percentage approved to the applicant. The Gwaii Trust allocates a maximum of 20% - 60%of the approved contribution until the project is complete.

Once the project has been approved the following Funding Schedule is as follows:
1st Request: 20% upon request- post approval, along with the signed funding conditions form and cover letter stating your request.

2nd Request: 60% through invoice matching approved advance ( 60% plus the first 20%) and a cover letter stating your request.

3rd Request: 20% once the project is completed, the applicant submits a financial report and a written summary (evaluation) of the project to receive the final 20%. Confirmation of project completions, including all stated deliverables, and the final evaluation documentation has been submitted. Along with the submission of final report and photos.

Essential Elements of All Proposals

  • Project description (indicate community benefit and include purpose or goals of the project.
  • Identify management structure;
  • Identify project costs and source of funds (Budget)
  • Project Timeline "Start to Finish dates"
  • Explanation of bookkeeping and accounting for the project
  • Explanation of attempt(s) to secure other funding from government or private agencies
  • Explanation of how the project meets the Constitutional goals and objectives of the Gwaii Trust
  • Confirmation that operational and maintenance funds exist once the project is completed
  • Support documentation - cost quotation(s), letters of support; proof of equity
  • Evaluation process - demonstrate how you will determine the success of your project, and indicate willingness to have Gwaii Trust Board site visits
