The Gwaii Trust Society has established a Travel Assistance Grant to assist Haida Gwaii residents to travel off Haida Gwaii to participate in educational, cultural, arts, sports, and senior events. This is a matching funds, out of pocket program, meant to assist residents with a portion of their travel costs, while not paying for their entire travel experience. This grant may also be accessed to fund eligible travel costs for bringing “expertise” on-island for educational purposes, arts, cultural, sports, seniors, and special needs.
Individual Travel Criteria
The Gwaii Trust Travel Assistant Grant is a matching funds grant, supplying funding to qualified individual applicants up to a maximum of $250.00 per trip for approved off-island travel. Expenses will be funded at the lesser of 50% of the total eligible out of pocket expenses or $250.
Participation is the key qualifier for this program. Attending an event as a spectator is not an approved purpose of this program
This program is not intended to fund trips whose primary purpose is a vacation
You are not eligible for funding if your trip has been paid for by your employer or any other group or person. The travel assistance program is an out of pocket program.
This grant is open to all residents of Haida Gwaii; a resident is defined as someone who has lived on Haida Gwaii for the 12 consecutive months prior to application.
Each resident over the age of 18 years is eligible for a maximum of two (2) trips per calendar year. Youth are exempted from the limits (ages 2 and up are eligible).
All applications must be submitted through the Gwaii Trust’s on-line application form, which follows this overview. Applicants unable to access the internet are encouraged to contact our staff to assist them.
Include a detailed itinerary of trip and a short summary describing the goals to be achieved by the travel activity
Include a copy of formal invitation or confirmation of registration to the event
Applications must be received at least seven days prior to travel. Submissions submitted well in advance are appreciated to allow time for the program coordinator to contact applicants for follow up should any further information be needed.
This grant cannot be used in conjunction with any other Gwaii Trust grant. (With the exception of the Continuing Education Grant)
All applicants must provide copies of the travel receipts and final accounting of the trip after the travel has taken place. No future funding will be approved until all obligations are fulfilled for previous travel.
Group Travel Criteria
In addition to the criteria for individual travel, the following criteria apply to groups
Individuals participating in sporting or other group events are encouraged to apply as a group/club/society
Groups are funded at the lesser of 50% of the total eligible, out of pocket expenses or $250 per group member up to a maximum of $4,000.00 per trip.
Include a letter of support/endorsement from recognized organization (club, team, or group). This requirement only applies to group applications.
Teams must submit an official roster confirming names of individuals participating in the sporting event
In an effort to encourage volunteerism, Gwaii Trust asks that evidence of how your group has volunteered or assisted in the community is submitted. We encourage groups to register with Volunteer Haida Gwaii if they are unsure where they can be of assistance.
Groups must submit a report summarizing their travel experience, and must include at least two high resolution photos of the trip.
Post Secondary Students:
Post secondary students are eligible for up to two return trips per calendar year to travel to school. This can include travel at the beginning of term as well as travel back to school after breaks.
Youth, Youth Groups, and School Group Travel (2-18 years of age):
In addition to the criteria for individual travel the following applies to youth/ school group travel
Gwaii Trust Society supports our Island youth traveling and accordingly has exempted youth travel from the two trips per year policy. Youth/School travel also permits on Island travel for school groups as eligible under this grant. Groups are funded at the lesser of 50% of the total eligible, out of pocket expenses or $250 per group member up to a maximum of 16 Youth participants.
The travel assistance grant will fund up to four adults (minimum student to adult ratio 4: 1) in addition to a maximum of sixteen youth participants as part of a group application.
Chaperones and coaches will no longer count towards the maximum group size for youth group travel applications, up to the above limits.
Support Letters are required for group applications.

A final trip report recounting the trip experience, along with photos must be submitted by the individual/group once the trip has been completed in order to receive any further travel funding.
ELIGIBLE EXPENSES COVERED BY THE TRAVEL ASSISTANCE GRANT
Ferry fares – may include berth accommodation
Train and/or bus fares
Note: all mass transit expenses must be confirmed through copies of the actual paid receipts
Mileage, gas and taxi are not eligible expenses
Car rental expenses
Maximum eligible expense of $75.00 per day, per individual
All accommodation expenses must be confirmed through copies of the actual paid receipts
$30.00 per day per person
Receipts are not required, but amounts are to be included in your expenses.
All eligible registration fees must be confirmed through copies of the actual paid receipts.
Travel funding is received upon completion of your trip and submission of your final report unless you have submitted receipts at least 14 days in advance of your trip in which case you may receive funding prior to departure.
Upon returning from the trip, the following must be done prior to future consideration from this grant:
Submit copies of the travel receipts and final account of the trip after the travel has taken place. Email all receipts to email@example.com; do not upload them to the website.
Receipts and reports not received within 30 days of travel may result in a loss of funding.
The completion of applications ensures Directors and staff have all available information necessary to make reasonable choices and decisions. Approval is at the sole discretion of the Board, and staff who manage the particular grants.
Submission of false or deliberating misleading information may result in the Gwaii Trust denying this and or future applications to the Trust under any of its granting programs.
All applications and associated support documentation submitted become the property of the Gwaii Trust, who may publish the said applications on their web site: www.gwaiitrust.com or may otherwise utilize their content as the Gwaii Trust sees fit.
